Track changes in Pages compatible with Word

Looks like no one’s replied in a while. To start the conversation again, simply ask a new question.

Before I go off, bite the bullet, and purchase Office for Mac, I still am hoping I won't have to. Can I open a Word doc on Pages, edit and track changes, then convert back to Word so colleague can accept changes? Does anybody have experience using the latest version of Pages? Many thanks.

Tracking Changes in Pages with a Word Doc

You can review and edit changes in the Comments & Changes sidebar on the left side of the Pages window.

  • To open the Comments & Changes sidebar, click

Track changes in Pages compatible with Word
in the toolbar, then choose Show Comments & Changes Pane. Click the button again to close the sidebar.

  • To change what’s shown in the sidebar, click View Options at the top of the sidebar to sort by page or date, filter changes by author, and hide comments or hide changes.

If you choose Sort by Document from the View Options menu, the sidebar scrolls as you scroll the document.

If you filter changes by author so that your changes aren’t visible in the sidebar, then you make changes, your changes appear in the document but not in the sidebar. To make changes appear in the sidebar, change the filter to include your changes, or click Show All at the top of the sidebar.

  • To see a specific comment or change, move your pointer over it in the document; the sidebar scrolls to show the content, and a line appears connecting the change with its corresponding entry in the sidebar. If you don’t see a line, make sure no sidebar item is selected.

To widen or narrow the sidebar, drag its right edge.

To change the size of the text in the sidebar and in comments, choose Pages > Settings (from the Pages menu at the top of your screen), then click General at the top of the window. Click the Text Size pop-up menu, then choose a size.

Track changes in Pages compatible with Word

Hi Office365, I've received a copyedited version of the manuscript for my book. It's a .DOC, with track changes. They've asked me to accept or decline the changes using track changes as well. I only have Pages. I can see their track changes & comments. If I export my Pages edits as a Word Doc, will they be able to see my additions to the track changes? Any help is much appreciated on this obscure question!

Whether you can’t afford Microsoft Word ( , $180), don’t like it, or just find yourself without it on one of your Macs, Apple’s Pages ( ); part of the $79 iWork suite) offers some similar features. For instance, if you want to work with others on a document, Word’s track changes feature isn’t the only game in town. Pages can’t merge or compare documents. It’s limited to marking changes, as well as recording notes and highlights. But this might be all you need. Better yet, you can share marked up Pages documents with Word users and vice versa, so you’re always ready to collaborate.

Get started

To activate change tracking in Pages, open a document and choose Edit -> Track Changes. You’ll see a new toolbar appear. In Pages, this is a narrow strip below the main toolbar that contains the editing controls you can use.

Start making whatever changes you want. They’ll display as they do in Word: deleted text appears as strikethrough text and added text appears in a different color. (If you’re picky about how your changes appear, make very basic adjustments by selecting Pages -> Preferences and choosing from the options under the Deleted Text, Inserted Text, or Author pop-up menus.)

Need to add an editorial comment to a document? Insert comments by choosing Insert -> Comment and typing text. Your insertion point (whether it’s a block of text or just the space between two words) becomes highlighted and a yellow line connects this highlighting to a bubble in the document’s left margin. (Although the bubble looks more like a sticky note.) This distinct coloring makes comments easy to distinguish from other changes, which appear in blue by default.

Pages’ display of tracked changes can be a bit more readable than Word’s.

Customize change display

Pages offers one customization option many Word users long for: you can choose—with some selectivity—whether or not to display tracking bubbles. When you’re making changes, or editing changes, click on Tracking Bubbles in the change tracking toolbar. A menu appears where you can select from Show All (to display all tracking bubbles), Hide All (to hide them), or Show Only For Selection. This practical option makes it easier to follow your changes. You can, for example, select one paragraph at a time and view the bubbles that apply only to the selection.

Pages also lets you show and hide change bubbles easily, something that Word only does when you change views (or if you change a setting in the preferences). To hide change bubbles, click the << button at the left of the tracking toolbar, or choose View -> Hide Comments And Changes Pane.

Turn tracking off and on

If you want to make some unrecorded changes in a document, toggle the Tracking slider in the toolbar to Paused. However, if you want to turn tracking off entirely (Edit -> Turn Off Tracking), you must be willing to accept all changes made to that point. (In Word, you can turn change tracking on and off as often as you like.)

Accept and reject changes

There are a number of ways to accept or reject changes. Control-click on a change and choose Accept Change or Reject Change in the menu that appears. Click on the Next and Previous arrow icons in the tracking toolbar and then click on Accept or Reject. You can also click on the check or x button in the tracking bubbles to accept or reject changes. To accept or reject all changes in one fell swoop, click on the gear icon in the tracking toolbar and select from the menu that appears.

You’ll find tracking changes most useful when you need to distribute a document to a number of people. While many people in business use Microsoft Word, this isn’t the case for everyone. Luckily, tracked changes made in one program usually appear in the other without problem—as long as you stick to Word’s .doc file format.

In my tests, I used Pages to open a number of .doc files with complex changes tracked with Word. I also saved a number of documents tracked with Word in Pages. In almost all cases, change tracking and comments showed up correctly in both programs. Pages even opened Word’s newer .docx format documents without a hitch, though it can’t save in that format.

The only limit to this sharing is the amount of complex layout the documents contain. Since the two programs have different layout features, some graphic elements may get lost in the shuffle. However, for most text-based documents, tracking changes works as you’d expect it should between the two word processors.

What Microsoft app is compatible with Pages?

Pages is the Apple version of Microsoft Word, and unfortunately trying to directly open a Pages file on a Windows 10 computer won't work. In order to open a Pages file and actually be able to edit it on your Windows 10 computer, you'll need to use a third-party app like CloudConvert to convert it.
